Contractor Information


Travel Reimbursement 

As a contractor, mileage may be part of your contract with EICC.  

EICC will pay mileage necessitated by assignment to more than one center at the rate approved by the Chancellor. The mileage is based on the total miles traveled by non-district vehicles on assignment(s), less than the number of miles from employee’s residence to and from the center of principle assignment/home location. 

Claims must be submitted within 30 days after the trip, on the appropriate travel expense report. The expense must be personally certified by the claimant and approved by the appropriate supervisor.

Instructor Packets 

Each instructor will receive a class packet at the start of the class. Your program manager will work with you to determine the best way to receive your packet. Most packets will contain:  

  • Class roster/and or registration cards for verifying attendance 

  • Class evaluations (either a QR code for digital/electronic submission or paper copies)  

  • Certificates of completion 

  • Name tents, available upon request  

A note about attendance 

It is an expectation for all instructors to collect accurate attendance by verifying rosters or returning registration cards. The registration cards or class rosters must be placed in the packet and returned to the appropriate program manager within 3 business days following the last day of the class or training. 

Class Rosters 

Attendance for all students must be documented on the roster. The roster may contain personal information and should not be passed around the room. Use the CE Class Sign-In sheet, and record attendance using the following: 

  • P= Pass  

  • I= Incomplete (student left the class early)  

  • NS= No Show 

Registration Cards  

Registration cards gather information EICC is required to keep as part of our state and federal reporting requirements. Registration cards are used when a roster has not been provided in advance, or an attendee’s information is not on the roster. Instructors are required to collect completed registration cards prior to the last day of the class or training.  

Registration card information that needs to be collected includes: 

  • Name 

  • Date of birth (this is our unique identifier) 

  • Home address 

  • Daytime phone number 

  • Email address (if the student doesn’t have an email, please note that on the card)  

Certificates  

Certificates of Completion may be part of your packet or made available for pick-up before the final class meeting. If a student does not pass the class, please return the certificate to the CE department. If a student’s name is misspelled on the certificate, contact your program manager so a new certificate may be mailed. 

Evaluations  

Class evaluations are used as a tool to improve the quality of our department and the class.  

Paper Version: Have students complete the Class Evaluation forms. Students are not required to complete the evaluations but are highly encouraged.  

  1. Class Evaluations should be handed out at the end of the class. 

  1. Write the instructor’s name, the class title, and the class number on the board for students to see. 

  1. To ensure anonymity, ask students to stack completed evaluations in a pile in the back of the classroom. Collect evaluations and return them in your class packet. 

Electronic Version: The class evaluation forms must be completed by the students at the end of your final class meeting. The QR code for the evaluation should be provided in your packet. To review the electronic evaluation form, visit eicc.edu/classEval or use the QR code:  

Returning the Packet 

After a completed class or training, the instructor or trainer should return or leave the packet in the designated location as arranged with the program manager. If the packet is to be left in the classroom, place the packet containing the completed roster or registration cards, and evaluations at the instructor’s station or desk. If you receive the packet electronically, please email the completed documents to your program manager.
