BD 231 - Secretary


The Secretary shall be appointed at the Organizational Meeting by the Board on the recommendation of the Executive Officer. The secretary shall perform the following duties:

 

  1. File and preserve copies of all reports made and all papers transmitted pertaining to the business of the corporation.
     
  2. Keep a complete record of all proceedings of the meetings of the Board.
     
  3. Keep a record of all regular or special elections.
     
  4. Keep a record of each fund deposited with the Treasurer.
     
  5. Keep an accurate account of all bills and present them to the Board for audit and approval for payment.
     
  6. Make and file with the Board monthly financial statements, showing receipts, disbursements and the remaining balance in each fund.
     
  7. Make and keep a record of each authorized payment, countersign using an original or facsimile signature, and maintain records of the payments or electronic funds transfers, showing the number, date, payee, originating fund, purpose and amount.
     
  8. Report to the State Department of Education, county auditors and the county treasurers the name of the President, the Secretary and the Treasurer of the Board as soon as practicable after each officer has qualified.
     
  9. Prepare and publish annual financial statements.
     
  10. Call to the attention of the Board legal requirements in those matters for which the Secretary is responsible.
     
  11. Arrange for all elections with the county auditor.
     
  12. Handle legal advertisements.
     
  13. Countersign all interest bearing bonds issued.
     
  14. Perform such other duties from time to time as may b.e required by the Board of Trustees, Executive Officer, or by law.
